Privacy Policy
How personal information is handled when you visit our website or contact us about an exhibition project.
1. Responsibility and contact
The data controller for this website and its enquiries is Neon Fuar Organizasyon Reklam Tasarım Turizm İnşaat Gıda San. Tic. LTD. ŞTİ. (Neon Fuar), at Gazi Mahallesi 16 Sk. No:1 Özdinç Karasu İş Merkezi K:4, 35410 Gaziemir, İzmir, Türkiye. For personal-data requests, contact [email protected]. General contact remains [email protected].
This notice covers website visits and project enquiries. It does not designate Neon Messe Bau GmbH as the operator or controller of this website. Any involvement of another company in a project must be explained before the relevant data is shared.
2. Information you choose to provide
The quote form asks for your name, company, email address and a project message. You may also provide an exhibition name, location, date and stand area. If you email us directly, we also receive the information and attachments included in that email.
The fields marked as required are needed to prepare a meaningful enquiry through the form. You may instead contact us by email. Without contact details or sufficient project information, we may be unable to answer or prepare a proposal. Please do not include unnecessary sensitive information.
3. The quote form does not send automatically
Quote form entries are used within your browser to prepare an email draft; the website does not submit them to a server or store them in a website database. Selecting the email button passes the draft to your chosen email application. Neon receives the message only after you send it.
The copy button writes the prepared text to your clipboard only when you select it. Your email provider processes your outgoing message under its own terms.
4. Purposes and legal bases
Under Turkish Law No. 6698 (KVKK), necessary pre-contractual or contractual processing involving the contracting individual relies on Article 5(2)(c). Business contact correspondence and website security rely on Article 5(2)(f), subject to protecting the individual’s fundamental rights; mandatory recordkeeping relies on Article 5(2)(ç). Data is collected electronically through website connections and emails you choose to send. The quote form itself does not transmit your entries to us. Optional live chat transmits the messages you send through it.
We use enquiry information to respond, clarify requirements and prepare project proposals. Where the GDPR applies, requests by an individual seeking a contract are processed under Article 6(1)(b). Business contact correspondence and enquiries made on behalf of a company are processed under Article 6(1)(f), for our legitimate interest in communicating with potential clients and organising projects.
Records needed to meet statutory obligations are processed under Article 6(1)(c). Any processing based on consent requires that consent separately; merely viewing this policy does not give consent.
5. Optional live chat
Live chat is provided by tawk.to and loads only when you select the chat mascot (“Open chat”). Simply visiting the website does not load this service. You may contact us by email instead.
When you activate chat, tawk.to processes technical connection and browser information and uses cookies or similar storage to support the conversation. Our support team receives the messages, contact details, company name and attachments you choose to share through tawk.to. If you choose to share your stand preferences, the space, atmosphere and priority you selected are saved with your tawk.to visitor details for our team. Offline enquiries can be followed up by email.
According to tawk.to, stored service data is hosted in the United States and retained until deletion is requested. Contact [email protected] for requests concerning your chat records. Disconnecting chat and reloading stops the current connection; it does not delete previously submitted messages.
6. Hosting and technical access data
Amazon Web Services (AWS Lightsail) is the selected hosting platform for this website. Delivering web pages requires processing technical connection information, including an IP address and the requested resource. Security or access logs may also contain request times, browser information and response status. Where the GDPR applies, necessary website delivery and protection are based on Article 6(1)(f), our legitimate interest in operating a reliable, secure website.
Technical access information is used to deliver the website, investigate errors and protect it against misuse. For information about the providers involved in processing your data, contact [email protected].
7. Theme preference, cookies and external content
Your theme is saved under “theme” only with permission for functional storage. Without permission you can change the theme for this visit without a persistent record. Your decision is stored for 180 days as a first-party local record, “neon-privacy-v1”, containing your choice and timestamps. Scrolling or closing the panel is not consent. Revoke permission using “Cookie preferences”; this removes the saved theme. Expired permission and theme records are cleared when the site is next opened or activated. These records are not sent to a server.
The current application contains no Google Analytics, advertising pixels, embedded Google Maps or social login. Project images and animations are served as website assets. Map buttons are external links: Google Maps opens only when you follow a link. If we introduce additional cookies or analytics, we will update this notice and obtain consent where required before using them.
8. Who receives enquiries and international transfers
Project emails are intended for the Neon Fuar team in Türkiye at [email protected]. Website hosting and email service providers may process information to supply their services.
International transfers of personal data are subject to the conditions of Article 9 of the Turkish Personal Data Protection Law (KVKK) and, where applicable, Chapter V of the GDPR. You may contact [email protected] for information about recipients, processing locations and the safeguards applicable to your data.
9. Retention
We retain enquiries for the time needed to respond and follow up on the project. Contract-related records are retained for applicable statutory periods and, where necessary, to establish, exercise or defend legal claims. Personal information is deleted or anonymised when the purposes and legal grounds for retaining it no longer apply.
Retention is determined by the purpose of processing, the nature of the record, applicable legal obligations and any ongoing dispute. Technical logs are subject to the same necessity principle for website operation and security. You can remove browser preferences by clearing this website’s data and submit a deletion request to [email protected].
10. Your rights under Turkish law (KVKK)
Under Article 11, you may ask whether your data is processed, obtain information about its use and recipients, request correction or legally applicable deletion/destruction and notification of those actions to recipients, object to adverse results from exclusively automated analysis, and seek compensation for harm caused by unlawful processing.
Submit a written request to the address above or email [email protected] using an address previously supplied to us and registered in our records. Include the information required by the applicable request procedure. Requests are answered as soon as possible, within 30 days. For a complaint to the Turkish Board, first apply to the controller; statutory complaint deadlines apply. This is separate from GDPR complaint rights below.
11. Additional rights where the GDPR applies
Where the GDPR applies and its conditions are met, you may request access, rectification, erasure, restriction of processing and data portability. You may object, on grounds relating to your particular situation, to processing based on legitimate interests. You may object to direct marketing at any time. If processing relies on consent, you may withdraw it without affecting the lawfulness of earlier processing.
Where the GDPR applies, you may contact [email protected] and complain to a competent EU supervisory authority, including where you live, work or believe an infringement occurred, without first contacting us.
12. Automated decisions and changes
The website does not make automated decisions with legal or similarly significant effects about visitors. The website form is not a newsletter registration.
This notice will be updated when the website’s data handling changes. Other processing, such as independently sourced business contacts, is outside the scope of this website notice and requires its own assessment and information.
